Exhibitor Terms and Conditions

  1. Booking Confirmation
    1. Booking of an exhibition stand will be confirmed upon receipt of the completed booking form and payment.
    2. A confirmation email will be sent to the exhibitor within 24 hours of booking.

  2. Payment Terms
    1. Full payment must be made within 14 working days from the date of the booking.
    2. If payment is not received within this period, the booking will be cancelled and the space will be made available to other exhibitors.

  3. Cancellation Policy
    1. Exhibitors have the right to cancel their booking within 15 days from the date of booking for a full refund.
    2. Cancellations made after the 15-day period are non-refundable.
    3. All cancellation requests must be submitted in writing to mac-conference2024@samac.org.za.

  4. Stand Number Changes
    1. Exhibitors should be aware that double bookings for stand numbers may occur. Your stand number is only confirmed once full payment is received and you receive an official email confirmation from the organising committee, which will be sent within 48 hours of booking. Bookings for the same stand number might happen, and a summary of all bookings will be updated in the system twice a day. Please allow for this process, as the stand number you initially book is not guaranteed until officially confirmed.
    2. Exhibitors are allowed to change their stand number once without any additional charge.
    3. Any subsequent changes will incur a fee of R200 per change.
    4. Requests for stand number changes must be submitted in writing and are subject to availability to mac-conference2024@samac.org.za.

  5. Exhibitor Responsibilities
    1. Exhibitors are responsible for ensuring that their stand is set up with their own branded items 24 hours before the event starts. The allocated time frame will be provided by the organisers.
    2. Exhibitors must comply with all safety regulations and guidelines provided by the exhibition organisers. No additional banners are allowed outside your exhibition area, unless you are a main sponsor.

  6. Damage to Hired Items
    1. Exhibitors are liable for any damage to hired items, including but not limited to furniture, equipment, and decorations.
    2. The cost of any damages will be assessed and charged to the exhibitor by the exhibition organisers.
    3. Payment for damages must be settled in full within 14 days of receiving the invoice from the Event Options.

  7. Liability and Insurance
    1. The exhibition organisers are not responsible for any loss, damage, or theft of exhibitors’ property.
    2. Exhibitors are advised to obtain adequate insurance coverage for their goods, equipment, and personal liability if you wish to do so.

  8. Compliance with Laws
    1. Exhibitors must comply with the event rules and regulations.
    2. Failure to comply with these regulations may result in the termination of the booking without refund.

  9. Force Majeure
    1. The exhibition organisers shall not be liable for any failure or delay in performing their obligations due to circumstances beyond their control, including but not limited to natural disasters, strikes, or governmental actions.
    2. In the event of force majeure, the organisers will endeavor to reschedule the exhibition or offer alternative arrangements.

  10. Amendments to Terms and Conditions
    1. The exhibition organisers reserve the right to amend these terms and conditions at any time.
    2. Any amendments will be communicated to the exhibitors in writing and will become effective immediately.

By booking a stand at the Macadamia Exhibition, you agree to abide by these terms and conditions. Failure to comply with these terms may result in the termination of your booking without refund.
